Director, Workplace Experience & Operations

The Director, Workplace Experience & Operations is a strategic leadership role responsible for cultivating a world-class workplace environment that fosters employee engagement, productivity, well-being, and a strong sense of community across all company locations. This role provides vision and direction for all aspects of workplace operations, space planning, technology integration, and overall workplace experience, ensuring alignment with the company's culture, brand, and business objectives. The Director leads a team responsible for the day-to-day operations of all locations, manages vendor relationships, and oversees capital improvement projects. This role is critical in optimizing the use of space and resources while reducing operating costs and ensuring a safe, secure, inspiring, and inclusive work environment.
PRIMARY ACCOUNTABILITIES:
Strategic Leadership & Workplace Operations:
  • Develop and implement a comprehensive workplace strategy that aligns with the company's overall business goals, culture, and employee needs, focusing on creating a positive and productive workplace experience.
  • Provide strategic direction and oversight for all aspects of workplace operations across all company locations, including building administration, maintenance, and contract management.
  • Act as the primary point of contact for landlords and building management for all locations, addressing building emergencies and ensuring timely communication.
  • Develop and manage annual operating and workplace budgets, focusing on cost optimization across all areas, including technology, digital tools, software subscriptions, office supplies, and equipment, while ensuring operational efficiency.
  • Analyze and monitor internal processes, implementing procedural and policy changes to improve operational efficiency and effectiveness, with a focus on enhancing the workplace experience.
  • Prepare operational reports and schedules to ensure efficiency and optimal resource utilization.
  • Ensure workplace policies and procedures are being adhered to across all locations.
  • Assess, recommend, and manage alternative work environments, including work-from-home options, to optimize employee flexibility and productivity and enhance the overall workplace experience.
  • Ensure compliance with all safety, security, and environmental regulations, prioritizing the well-being of employees.
  • Regular travel expected throughout all corporate office locations.
Space Planning & Management:
  • Lead the development and execution of space planning strategies to optimize space utilization, promote collaboration, and support the company's growth and/or needs, with a focus on creating a functional and aesthetically pleasing workplace.
  • Scout and recommend space, maintain leases and amendments, and approve lease charges.
  • Manage the coordination of staff seating across all locations, working with department heads, IT, and People to manage space, support staffing changes, and ensure a productive work environment.
  • Track and manage current/future space, as well as plan and coordinate office moves, minimizing disruption to employees and ensuring a seamless transition.
  • Manage all capital improvement projects, including development of scope of work, bid review, awarding contract, and daily oversight of project, ensuring projects align with the company's workplace vision.
Inventory & Technology Management:
  • Oversee the management of office supplies inventory for all locations, ensuring adequate stock levels and cost-effective procurement, contributing to a well-equipped and efficient workplace.
  • Analyze and negotiate new and existing vendor contracts for office supplies, furniture, and equipment.
  • Negotiate the purchase of office supplies, office equipment, etc., for the entire staff in accordance with company purchasing policies and budgetary restrictions.
  • Coordinate with IT and Finance to ensure all assets related to equipment and furniture are properly tracked and accounted for.
  • Select, manage, track telecommunications equipment, and coordinate with the IT department, ensuring employees have the technology they need to be productive.
  • Execute staff training programs to assure frictionless use of all office equipment and technologies, including video and phone conference services, empowering employees to utilize workplace resources effectively.
  • Manage security and access protocols for network file and internal systems, ensuring the safety and security of company data and resources.
Workplace Experience & Culture:
  • Create and maintain a positive and engaging workplace experience that reflects the company's culture and values, fostering a sense of community and belonging.
  • Supervise the maintenance and alteration of office areas and equipment, as well as layout, arrangement, and housekeeping of office facilities to reinforce corporate image/culture and optimal productivity for staff.
  • Manage the reception area staff at all locations to ensure effective telephone, visitor greeting, and mail communications to maintain a consistently professional image and provide a welcoming experience for visitors.
  • Supervise the maintenance of office equipment, including copier, fax machine, etc.
  • Coordinate services provided by property management, including cleaning and building maintenance, ensuring a clean, safe, and well-maintained workplace.
  • Manage building and suite access, maintaining ongoing tracking reports of access cards and keys, ensuring the security of the workplace.
  • Responsible for the workplace's day-to-day operations (such as distributing building access keys and back-up to security access cards, etc.).
  • Participates as needed in special department projects.
  • Maintain a safe and secure working environment.
  • Handle customer inquiries and complaints related to workplace services.
  • Manage internal staff relations within the Workplace Experience & Operations team.
Supervision & Leadership:
  • Oversee and supervise Workplace Assistants and other team members to ensure all tasks are performed correctly, efficiently, and effectively.
  • Lead the Workplace Experience & Operations organization and work alongside other operations departments to complete tasks assigned to them or in partnership with their peers in a timely and accurate manner, and in ways that work to create a welcoming environment.
  • Provide coaching, mentoring, and development opportunities for team members to enhance their skills and performance.
REQUIREMENTS:
  • Bachelor’s degree in Facilities Management, Business Administration, Human Resources, or a related field preferred.
  • At least seven (7) years of progressive experience in workplace operations, with a minimum of three (3) years in a leadership role.
  • Proven experience in developing and implementing workplace strategies that align with business objectives and enhance the employee experience.
  • Strong financial management skills, including budget development and management.
  • Excellent communication, interpersonal, and negotiation skills.
  • Strong project management skills, with the ability to manage multiple projects simultaneously.
  • Working knowledge of mail processes such as postage machines, Federal Express, and UPS.
  • Computer literacy, specifically MS Office Suite (Word, Excel, PowerPoint).
  • Ability to negotiate effectively.
  • Ability to work flexible hours, including outside of normal business hours, as needed.
  • Ability to travel as needed to other company or partner offices for meetings and work responsibilities.
  • Ability to lift and carry objects, as needed to complete assigned responsibilities.
  • Ability to complete timesheets daily.
  • Prolonged periods sitting at a desk and working on a computer.
  • Must be able to lift 15-20 pounds at times.

The base salary for this position at the time of this posting may range from $70,000 to $150,000. Individual compensation varies based on job related factors, including business needs, experience, level of responsibility and qualifications.
